Feature
Record the meeting. Get minutes that record decisions, not conversation.
Notice, agenda, board package, attendance, recording, transcript, motions and votes, draft minutes, approval and publication, in one flow. Nothing publishes without a human.
Board reality
Why this is hard for a volunteer board
The secretary is typing while trying to listen. The notice period was wrong for this meeting type. The board package was assembled from six attachments at midnight.
The mechanism
How the butler handles it
- Step 1
The notice and the package build themselves
Pick the meeting type and the butler generates the statutory notice with the right period, method and content for your jurisdiction, delivers it, and keeps per-owner proof. The board package assembles itself from live data: financials, arrears, variance, work orders, correspondence, decision items with documents, bid comparisons. - Step 2
Record in the room or online
Record on a phone or tablet, or let the bot join Zoom, Teams or Meet. The transcript is labelled by speaker from your roster, with chapters against the agenda and a live caption view for the secretary. - Step 3
A person approves every item
Motions, votes, quorum at the vote, conflict declarations and action items are extracted into a review queue with confidence scores. The secretary approves each one, the minutes draft is resolution-focused, and approved items become decisions.
Record output
What it produces
Notices with delivery proof, agendas, and the assembled board package.
Attendance and quorum log, recording with a consent log, and a speaker-labelled transcript.
Draft and approved minutes with tracked changes, decisions and action items.
An in-camera stream kept apart from the owner version, and meeting history search.
Rules pack
Ontario and Florida
Each jurisdiction is a rules pack, and the citation travels with the obligation.
Florida video meetings must be recorded and the notice must include the link, a phone number and a physical location. Retention defaults per artefact are preloaded, and where a recording is not an official record the butler presents keep and destroy-after-approval with the trade-off stated, then logs the board's choice as a decision.
Board questions
Questions boards ask
Does the AI publish the minutes?
Never. Every extracted item sits in a review queue until a person approves it. Publication is a separate, logged step.
Can owners see in-camera items?
No. In-camera segments are a separate stream with restricted access, and any redaction is itself logged.
What about in-person meetings with no internet?
Capture works offline and uploads when you are back online.
