Documents are tagged at creation as core or non-core, official or not, owner-visible, privileged or in-camera, with a retention rule. The request workflow, the clocks and the fee caps are preloaded for Ontario and Florida.

Why this is hard for a volunteer board
An owner asks for all the board's records on the landscaping contract. Somebody has to find them, decide what can be shared, redact what cannot, and answer within the statutory clock, using the mandatory form.

How the butler handles it

Classification happens at birth
Every document gets its statutory class, visibility and retention rule the moment it is created or imported. Bulk import is auto-classified with human confirmation. - Step 2
The request becomes a workflow
An owner submits a request in the portal, the butler generates the correct form, starts the clock visible to both sides, computes the fee against the statutory cap, and assembles the response from the classification. - Step 3
Standing disclosure stops most requests
Approved documents publish to the portal on the jurisdiction's posting rules, so most requests never need to be made.

The records taxonomy and a retention engine with disposition prompts and legal hold.
Request and response forms, a redaction log with reason codes, and delivery proof.
Purchaser and lawyer packages, and scoped access for auditors and regulators.

Each jurisdiction is a rules pack, and the citation travels with the obligation.
Florida's official records list under s.718.111(12) and the HOA equivalent under s.720.303, the inspection rights and the categories not accessible to owners are preloaded.

Can the board refuse a request?
Only on the grounds the statute allows, and the butler shows the ground and the penalty exposure for an unreasonable refusal.
What about privileged documents?
They are classified privileged at birth and never appear in an owner response. The exclusion is logged.
How long do we keep things?
The retention schedule is in the rules pack. The butler prompts before any disposition and refuses during a legal hold.
