How to receive, log and answer an owner's records request within the statutory period, with Ontario and Florida versions and a redaction log.

A records request is a clock that starts on receipt. This kit is built so a board can answer one without going looking for the rules first.

What is in it

An intake form that captures the date received, which is the fact everything else counts from. A classification worksheet that separates what must be produced from what is excluded, per jurisdiction. A redaction log, so that every removal has a reason recorded against it. A response letter template.

Ontario and Florida

The Ontario version follows the core and non-core split and the mandatory forms. The Florida version follows the official records list, counts in business days, and carries the exclusions the statute sets out.

How to use it

Keep the intake form where whoever opens the mail can reach it. Almost every late response starts with a request that sat in an inbox until the next board meeting.
