A board procurement policy with spend bands, the number of quotes each band needs, and who can approve what. Ontario and Florida notes included.
A procurement policy is the document that answers, before the argument starts, how many quotes a board needs and who is allowed to sign.
What is in it
Spend bands, from a routine repair up to a capital contract, with the number of written quotes each band requires and the approval each needs. A conflict of interest declaration for every award. A standing exception for genuine emergencies, written narrowly enough that it cannot swallow the policy.
The jurisdiction notes
Ontario sets no statutory bidding threshold, so the bands in this template are a board's own policy and the board can set them where it likes. Florida sets a statutory threshold as a percentage of the annual budget, different for condominiums and for homeowners' associations, and the template shows where that lands relative to the policy bands.
How to use it
Adopt it by board decision, minute the decision, and put the bands somewhere every director can see them. A policy that lives in a folder is a policy that gets discovered after the contract is signed.
